A US-based real estate investment and wholesaling firm, in business since 1999, is seeking a Virtual Operations & Marketing Coordinator to run its day-to-day marketing and operations. This is a full-time, fully remote role for someone who can own a CRM, manage high-volume SMS outreach, keep an executive inbox under control, and maintain clean, deployment-ready lead data — the pipeline that drives the company’s deals. You will report to the business owner and support several connected brands. The role calls for independence, precision, and clear communication: much of the work runs while the US team is offline, so the firm needs someone who owns outcomes, flags problems early, and keeps stakeholders informed without being asked. Key Responsibilities CRM Management & Administration Create and maintain SMS, email, and workflow templates; upload and clean contact lists; apply tagging and segmentation; monitor inbound inquiries; and maintain data accuracy across platforms. SMS & Text Outreach Manage daily SMS campaigns from list prep through send and follow-up; verify and clean contacts before deployment; monitor delivery and responses; qualify and route leads; and maintain opt-in / opt-out compliance. Email & Executive Inbox Support Organize and triage leadership inboxes; prioritize by urgency and business impact; flag time-sensitive items (lender, partnership, escalation, and contract correspondence); track follow-ups; and draft replies on request. Lead Data Operations (training provided) Clean and standardize property files; pull and organize skip-traced owner data; and prepare accurate lists for outreach and CRM upload. Marketing, Social & Content(basic proficiency is fine) Schedule and publish social content; create and repurpose written content; build and monitor email and event campaigns; and help moderate an online community. Website, Presentations & Research(training provided) Update website pages and blog posts (WordPress / Elementor); build PowerPoint materials; and conduct business, market, and competitor research with clear summaries. Hands-on CRM administration (GoHighLevel or comparable): lists, tagging, segmentation, templates. SMS / text-outreach experience (or closely comparable outreach), including list prep, deployment, response handling, and opt-out compliance. Executive email / inbox management with strong prioritization judgment. Strong data-operations discipline: cleaning, de-duplicating, standardizing, and validating data. Excellent written English; high attention to detail; able to work independently across US (Arizona) business hours. Fast learner across new platforms, with strong problem-solving instincts. Preferred Qualifications Real estate lead-generation or property-research experience. Skip-tracing / property-data tools (DealMachine, PropStream). Website maintenance (WordPress / Elementor), content / social, and PowerPoint. Experience supporting a multi-business owner. Tools & Software Primary CRM: GoHighLevel (GHL).
